Grndly is built to help owners, workers, and clients communicate clearly. Protecting the information you trust us with is part of that promise. This policy explains what we collect, why we collect it, and the choices you have. We keep it in plain English with no hidden wording.
1. Information we collect
We collect information you provide directly and information generated as you use Grndly:
- Account information — your name, email address, phone number, role (owner, worker, or client), and workspace details.
- Project content — photos, daily updates, notes, attendance entries, and messages you upload to keep a project moving.
- Usage data — pages viewed, features used, and actions taken, which help us understand how the product is working for you.
- Device data — device type, operating system, app version, and general diagnostics used to keep the service reliable.
2. How we use your information
We use the information above to:
- Provide, maintain, and secure the Grndly service.
- Generate AI daily reports and summaries from the updates you and your team submit.
- Send notifications about project activity, reports, and account matters.
- Improve the product, fix issues, and build features people actually need.
3. AI processing of updates
A core part of Grndly turns short field updates, photos, and notes into clear daily reports. To do this, project content is processed by our AI systems and trusted AI service providers acting on our behalf.
This processing exists only to produce the reports and summaries you ask for. We do not use your private project content to train foundation models for unrelated purposes.
4. Legal bases for processing
Where applicable law requires a legal basis, we rely on the following:
- Contract — to deliver the service you signed up for.
- Legitimate interests — to secure, support, and improve the product.
- Consent — where you opt in, such as certain notifications.
- Legal obligation — to meet accounting, tax, and compliance duties.
5. How we share information
We share information only when it is needed to run Grndly:
- Service providers — hosting, storage, analytics, and AI processing partners bound by contract to protect your data.
- Your workspace — content is visible to the owners, workers, and clients you invite to a project.
- Legal reasons — when required by law or to protect people and the service.
We never sell your personal information, and we never rent it to advertisers.
6. Data retention
We keep your information for as long as your account is active and for a reasonable period afterward to meet legal, accounting, and dispute-resolution needs. When data is no longer needed, we delete or anonymize it. You can request deletion at any time.
7. Security
We protect your data with encryption in transit and at rest, access controls, and regular security reviews. No system is perfect, but we work hard to keep Grndly safe and to respond quickly if something goes wrong.
8. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct information that is wrong or incomplete.
- Delete your information.
- Export your data in a portable format.

9. International transfers
Grndly operates globally, so your information may be processed in countries other than your own. When we transfer data across borders, we use appropriate safeguards, such as Standard Contractual Clauses, to protect it.
10. Children
Grndly is a professional tool and is not intended for anyone under 16. We do not knowingly collect information from children. If you believe a child has provided us data, contact us and we will remove it.
11. Changes to this policy
We may update this policy as the product and the law evolve. When we make meaningful changes, we will update the date above and, when appropriate, notify you in the app or by email.
